Happy Mothers Day to all!
Our Assistant Community Manager, Marissa, is getting married this month and moving on to her life as a newlywed. She will be with us until May 27th to help train a new hire administrative assistant. We wish her every happiness and success in her future and will miss her!
Final pool repairs are underway and we anticipate the season opening on Memorial Day weekend. Our management team is busy hiring seasonal pool staff, overseeing the cleaning of all pool equipment and furniture, arranging for electrical inspections, and chemical deliveries. The yearly pool opening preparations revealed an outdoor shower plumbing leak and a leaky shutoff valve for the pool inside the shed. Both leaks are being repaired and should not affect the planned pool opening.
We have three additional association property maintenance issues that arose in the past month. The first one involves water intrusion into the gathering room through the door that leads to the pool area. Our business partner will regrade the area for proper drainage and seal the exterior threshold in the following week. The second one is the furnace failure that supplies heat to the office zone in the clubhouse. Our Community Manager Scott has solicited multiple RFP for replacement of the furnace after having two different companies diagnose the furnace as completely failed. We will present the quotes at our association nomination meeting next month. The final matter is the broken handle bar on one of the playground pieces that will be replaced as soon as the part can be sourced.
We have spoken about the importance of maintaining the stormwater management system throughout the community in recent months. Proper drainage is not only crucial to the local ecology and our properties, it is also an important item to address prior to the large-scale road replacement project that we need to schedule. Addressing the deteriorating roads without first remediating the stormwater runoff issues would be akin to throwing away good money after bad, as this has been identified as one of the top reasons for our road deterioration to begin with. Minor pothole repairs using hot patches throughout the community will begin this month but the large-scale road project cannot begin until the stormwater issues have been addressed. To that end, repairs on two key areas of stormwater management problems in the community will begin this month on Brandyshire and Rivendell. We are currently in the process of reviewing all culvert pipes on member lots. Due to the weather and other unexpected issues, the inspections were delayed. All culvert pipes are being reviewed by whether they need to be replaced, cleaned, bulkhead repaired, or if the pipe ends need to be fixed. The good news is that the majority of the pipes reviewed so far just need cleaning, or the bulkhead needs to be fixed. Overgrown vegetation and sediment need to be removed. This was caused by the lack of cleaning the swales over the years which made the bottom of the swale higher than the pipe in the ground. The culvert pipes that need to be replaced are the ones that are completely crushed, the metal is rotting away inside the pipe, and ones that are completely buried by dirt and rock. Once all culvert pipes are reviewed, the report will be sent to the board for their review. Once approved, letters will go to the homeowners explaining their situation, pictures of their culvert and what needs to be done. Our goal is to have drainage issues remediated by the beginning of October and we thank you for your cooperation and patience as this project moves along.
Your committees have been working hard for the community. The Beautification Committee has a fantastic sneaker drive underway to raise funds, and now would like to offer car washes in the parking lot. They are looking for a few volunteers to help out once a month during the pool season for a few hours washing cars. The Events Committee is planning the Memorial Day Picnic, Tag Sale and Book Sale, Party on the Lawn and Food Festival, Juneteenth and Father Day BBQ, and our first ever Community Day Festival. Volunteer help of any kind is always appreciated.
As a closing reminder, the annual Nominations Meeting is Saturday, June 3rd, at 10 AM in person and via Zoom. There are two open board seats as both Susan and Greg’s terms will expire in August. Candidates interested in running for the Board of Directors must be nominated at this meeting and have their nomination seconded by another member. We will also be handing out the annual census form which each resident must complete and turn into the office no later than the Annual Meeting in August. There is a space added to the census form to opt-in to receive electronic notifications in place of US Mail which will result in a savings to the association. We encourage you to consider volunteering or participating in community events and affairs. After all, this is the place we all call home so why not stay informed and engaged. We look forward to seeing our members on June 3rd.
